Guidelines for Abstract Submission

For oral / Free Papers and Posters (National & International Authors)

1. General Submission Information
  1. Presentation Types Accepted:
    • Oral
    • Posters
    • video Presentations
  2. Language
    • All abstracts must be submitted in English via the online submission system only. conference.nos.com.np
    • Submissions by post, email, or fax will NOT be acceptable.
  3. Abstract Title
    • Maximum of 100 characters (including spaces).
    • Must be concise and descriptive.
    • Avoid abbreviations.
    • Use AMA Manual of Style capitalization rules.
  4. Abstract Body
    • Maximum 300 words (excluding title, authors, degrees).
    • Should be structured into:
      • Purpose
      • Methods
      • Results
      • Conclusions
      • Keywords
    • Do NOT include tables, graphs, images, or references.
    • Define all abbreviations when first used.
  5. Number of Submissions
    • Each author can submit up to 5 abstracts.
    • An author may be the first (presenting) author on a maximum of 2 abstracts.
    • Only 2 presentations of the same type (oral/poster) can be given by a single author.
2. Author Information
  1. Presenting (First) Author
    • Will be the main contact for communication.
    • Must register to attend NOSCON, and present. (Registration fees if Paid will be nonrefundable)
    • Provide a valid and active email address.
  2. Co-Authors
    • Maximum of 5 co-authors per abstract.
    • List full names and affiliations exactly as they should appear in publications.
    • Initials only for middle names, if applicable.
3. Abstract Review & Submission Timeline
  1. Submission Deadline
    • September 30, 2025 (Tuesday)
    • Late submissions will NOT be accepted.
  2. Acknowledgement
    • Abstract submission will be confirmed via email receipt with a reference number.
    • If not received within 24 hours, contact: noscon2025@gmail.com
  3. Revision Period
    • Abstracts can be revised until October 15, 2025.
    • Only the latest version will be reviewed.
  4. Notification of Acceptance
    • By October 15, 2025.
  5. Final Sessions Notification program schedule
    • By October 31, 2025.
4. Presentation Format & Options
  1. Authors may select
    • Authors may select
      • Oral
      • Poster
      • Oral or Poster" - Recommended for more opportunity.
    • If "oral or Poster" is selected:
      • Abstract is first reviewed as an oral, then as a poster if not accepted.
    • If only "oral" is selected and not accepted:
      • It will not be considered for poster presentation.
5. Eligibility for NOSCON Award (competitive Papers: oral/poster /video)
  1. Eligibility Criteria:
    • Paper must not be published or submitted to any journal.
    • Paper has not been previously presented at other conferences.
    • Single case reports are NOT accepted.
    • Free Paper Duration: 5-7 minutes
    • No change in presenting author allowed during final session.
    • Ethical clearance from IRC or Letter from institutional head or Letter from department head is mandatory
    • Any ambiguity or misrepresentation is considered plagiarism - all authors will be debarred for award for 3 years.
6. Oral / poster / video Specialties
  1. Oral / poster / video are accepted in the following specialties
    • Cornea and Ocular Surface Diseases
    • Cataract and Refractive Surgery
    • Orbit, Oculoplasty, and Lacrimal Disorders
    • Uvea, Medical Retina, and Surgical Retina
    • Pediatric Ophthalmology and Strabismus
    • Glaucoma
    • Others
      • Neuro-Ophthalmology
      • Optics, Refraction, and Contact Lenses
      • Ocular Trauma
      • Ocular Pathology
      • Ocular Oncology and Tumors
      • Community Ophthalmology
(Note: Specialties may be combined depending on submission volume.)
Each submitted abstract will be peer-reviewed, and the final decision on acceptance will be made with great consideration by the Scientific Committee.
7. Videos Submission
  1. Video Abstract Submission Final Deadline: September 30, 2025
  2. Video Format: maximum size 100mb, maximum duration of 7 minutes.
  3. Evaluation Criteria: Scientific merit, originality, educational value, audio-visual quality, editing.
8. Ethical and Financial Declarations
  • Must declare:
    1. Whether research was conducted in Nepal.
    2. If it was presented /published elsewhere.
    3. If it was published or submitted to any journal.
    4. Ethics Committee approval, if human subjects involved (include reference number)/ letter from institutional head or department head (mandatory in competitive session)
      • Financial Disclosure: Mandatory for all authors.
      • Include in the abstract and on the second slide of the presentation.
9. Withdrawal Policy
  • Authors may withdraw, but:
    • No changes allowed in presenting author or author sequence within one month of the conference.
10. Certificates & Copyright
  • All presenting authors will receive certificates.
  • By submitting an abstract to NOSCON-2025, the author(s) hereby grant the NOS (Nepal Ophthalmic society) a non-exclusive, irrevocable, worldwide, royalty-free license to use the abstract in the NOS’s electronic media and printed materials.
  • The author(s) also grant permission for the production of their image (including photos) video, and any associated audio/video recordings of their presentation (using a synchronized recording system). These materials may be published online, including streaming, and used to create educational content. The presentation will be reproduced in full compliance with its scientific content, including all associated data and the author(s)’ image, for the purpose of dissemination.
11. Submission Checklist
  • Before submitting, ensure:
    • ✔ Title follows AMA Style capitalization rules.
    • ✔ Abstract contains clear purpose, methods, results, and conclusion
    • ✔ No institutional names or identifiers in the abstract.
    • ✔ Study design and methodology are sound.
    • ✔ Abstract is proofread and within word limit.
    • ✔ Financial disclosures are included for all authors
